EMail Setup FAQ

What are the different email Protocols:
  • IMAP -  Internet Mail Access Protocol (IMAP) is a standard protocol for accessing email on a remote server from a local client. IMAP is an application layer Internet Protocol using the underlying transport layer protocols to establish host-to-host communication services for applications. This allows the use of a remote mail server.

  • POP - Post Office Protocol - POP3, sometimes referred to as just "POP," is a simple, standardized method of delivering e-mail messages. A POP3 mail server receives e-mails and filters them into the appropriate user folders. When a user connects to the mail server to retrieve his mail, the messages are downloaded from mail server to the user's hard disk.

  • Exchange description - Microsoft Exchange Server is Microsoft's email, calendaring, contact, scheduling and collaboration platform. It is deployed on the Windows Server operating system (OS) for business use. Microsoft designed Exchange Server to give users access to the messaging platform from mobile devices, desktops and web-based systems.

How long does iEditWeb store email messages?
  • For IMAP and POP email protocols, iEditWeb stores email messages for 60 days.  When an email reaches 61 days old, we remove email messages from the Inbox, Sent, Spam, Virus and Trash folders.   However, each email protocol is handle differently.
  • IMAP - if you have your email account set-up on your desktop, laptop, tablet and computer we recommend setting up additional folders to move email messages you wish to keep.  Any email message that is moved into the folders you create will stay in place until YOU delete them.
  • POP -- if you have your email account set-up on your desktop, laptop, tablet and computer your email messages will stored on that device regardless of ago or until you delete them.  However, some email clients can be sent to remove email messages after a certain time, please check your email account settings.   Email messages sitting on our server, will be removed when it reaches 61 days old; unless your email client software says differently.
  • Exchange -- Your email messages will remain on your devices and on the server until you delete them.   Microsoft days have storage limits which start at 50 GB -- that's a lot of storage.  If you need additional storage, let's discuss your options.

Why use Exchange email service?
Microsoft Exchange enables email to be delivered directly to a server. It works by sending the emails back to your individual workstations in which your staff can access. Small and medium-sized companies can achieve these benefits from using Microsoft Exchange.
  1. Centralize emails so that they can be backed up. If you're using an old POP3 model, you risk losing your emails. Exchange is first and foremost about centralizing and backing up that information.
  2. Eliminate email threats before they reach your network. Exchange actively protects your communications with built-in defenses against email threats. Multi-layered anti-spam filtering comes with continuous updates to help guard against increasingly sophisticated spam and phishing threats, while multiple anti-malware engines work to protect your email data from viruses.
  3. Shared calendars between different members of your organization. Stay informed of what other staff members are doing. Shared calendars help companies to be more organized and productive.
  4. Set an out-of-office reply. A simple but useful feature. Keep your fellow colleagues, clients and sales prospects informed when you are out of the office or away on holiday.
